What are the IRCE Show Rules, Terms & Conditions?

IRCE Registration Terms and Conditions

Show Policies
No one under 21 will be admitted without written approval from show management. Early bird pricing ends at midnight Pacific Standard Time on Monday, April 3, 2017. Any pending registrations not confirmed at this time are subject to the price increase. Promo codes are valid for new registrations only. Pre-show pricing ends at midnight Pacific Standard Time on Saturday, June 3, 2017. IRCE accepts credit cards, checks and wire transfers for pre-event registrations. On-site registrations must be paid via credit card.

Cancellation / Refund Terms and Conditions
Cancellations and refund requests (for paid conference registrations) must be made in writing and emailed to customerservice@irce.com. Cancellation requests received by February 1, 2017 will be refunded in full. Cancellations received through May 8, 2017 will be refunded 50% of the total amount paid. Cancellation requests received after May 8, 2017 are non-refundable. Cancellation requests received with 48 hours of booking will be refunded 100% minus a processing fee. Substituting a different person on an existing registration can be done by calling IRCE registration customer service at 800-465-5541 (toll free) or 847-966-5814 for International residents.

Check and Wire Payments
Checks and wires will be accepted for registrations made prior to the event. All checks must be received by Monday, May 22, 2017. All wires must be received by Friday, June 2, 2017. After these dates, all payments must be made via credit card. Registrations pending payment will be placed in a pending state for no more than 3 weeks, after which they will be cancelled unless prior approval has been received by show management. All pending payments must be received before any price increase, otherwise pending registrations will be cancelled or subject to the price increase. Early bird pricing ends on April 3, 2017.

Photography and Video Rules

Exhibit Hall
Cameras and video equipment (including smart phones and other handheld devices) are allowed on the exhibit floor for use by individual exhibitor staff and attendees.  Exhibitor staff and attendees may take pictures and video on the exhibit floor for purposes of company communications, marketing materials and social media efforts. Under no circumstances will anyone be permitted to take pictures or video of an exhibitor’s product, staff or booth without the permission of the exhibitor. Exhibitors have the right to report to security any instance of inappropriate recording of company products, staff or displays.   All photographs or video recordings should be attributed to IRCE.  Non-exhibiting vendors are not permitted under any circumstances to take photography or video at IRCE, including within the sessions, exhibit hall, common areas or any exhibiting company’s booth. Unauthorized photography or video recording is prohibited and will result in expulsion from the exhibition and conference without refund.

Sessions
Photography and video/audio recording of any kind are strictly prohibited in all IRCE sessions. Only IRCE, approved show photographers or videographers and credentialed news media are allowed to record any image or portion of educational sessions. Unauthorized photography or video during sessions will result in expulsion from the exhibition and conference without refund.

Press
Media credentials are reserved exclusively for working members of the editorial media, including print, broadcast, radio or online, at the sole discretion of IRCE management. Public relations, advertising and marketing personnel do not qualify for media credentials. All media are required to follow the photography and video policy outlined below. Approved media who abuse privileges or misrepresent themselves may have their credentials revoked and be removed from the conference.

Photography and videography at IRCE, both in the sessions and in the exhibit hall, is permitted for those with approved press credentials. You will require a camera tag issued by IRCE in order to take photography or video in the sessions.  Bring your camera with you to the Press registration room to pick up your press credentials and camera tag. The camera tag must be affixed to your camera AT ALL TIMES. Only accredited press are eligible to receive a camera tag. Please note: flash photography is only allowed during the first five minutes of any session.  Individual speakers and IRCE management have the right to restrict photography and video recording in any individual session, and media must comply with this instruction, or they may have their credentials revoked and be removed from the conference.  All photographs and video should be attributed to IRCE and the appropriate exhibitor and/or speaker as applicable.

What payment types are accepted on-site?

On-site registration must be paid via credit card. Checks, wires and cash will not be accepted.

Does IRCE have a dress code?

IRCE does not have a formal dress code policy. Business casual is the most common dress for the event.

What is the address for McCormick Place West?

If arriving by Taxi, please let your driver know to drop you off at McCormick Place, West Hall at the Indiana Blvd. entrance. Closest cross street is Cermak and Indiana.

How can I book my hotel?

Use the following link to book your hotel for IRCE. Please ensure you book directly with onPeak, our official hotel partner, to take advantage of the discounted hotel rates.: Travel Information.

Hotels begin selling out as early as February and are booked on a first come, first serve basis. We do not keep a wait list. The Hyatt McCormick is extremely popular and sells out quickly. If your selected nights are not available, please choose another hotel. If rooms at the Hyatt McCormick become available due to cancellations, we will notify all holders of reserved rooms within the IRCE block first.

Is my preferred hotel really sold out?

Hotels for IRCE start selling out on popular dates in early January. Limited rooms may become available once guest name and deposits are required to be submitted and any held rooms are released. We recommend booking your hotel as early as possible, then checking back on May 1 when TBD rooms are released back into the block.

Is there parking at the event?

Please visit the McCormick Place Web site for detailed information on parking at the convention center. Note: Lot A is easily accessible from Level 3 of the West building.

Where can I find information about the shuttle at IRCE?

Complimentary scheduled shuttle transportation is provided by IRCE between McCormick Place West and the following hotels during peak times: Hyatt Regency, Palmer House Hilton and Hilton Chicago. Shuttle routes and information can be found at: Shuttle Schedule.

Do I qualify for a discounted retailer exhibit hall pass?

Qualified Exhibit Hall Only Passes are available to retailers only. Vendors to the retail industry, analysts and agencies should register for the non-qualified exhibit hall only pass type. To determine your qualification, please review the criteria below.

QUALIFICATION CRITERIA FOR IRCE Exhibit Hall Only Passes

In order to purchase a qualified retailer exhibit hall pass, crendetials must be provided. Credentials are not neccessary for purchasing conference passes. In order to purchase the discounted exhibit hall pass, IRCE requires valid proof that you are running a retail (defined as selling products to the consumer) business.

You must provide identification to qualify your business, and separate identification to qualify each individual employee from your store or company. The retail business name must be the submitted company name for your badge. IRCE reserves the right to refuse discounted pricing to non-retail and may follow up with you to further clarify the items you submit.

  • Please submit ONE form of Company and ONE form of Employee identification. Please note that acceptable Employee identification must be submitted for each registrant. We reserve the right to request additional business identification if deemed necessary.
  • REQUIRED company identification: Web site URL of your retail business

Additional Acceptable COMPANY identification includes at least ONE of the following:

  • Resale tax certificate for industry-related business
  • Recent invoices from industry manufacturers for goods purchased at wholesale/in quantity.
  • Acceptable EMPLOYEE identification includes at least ONE of the following:
  • Copy of cancelled company payroll check or pay-check stub Copy of W-2 form
  • Copy of company credit card with both employee’s and company’s name
  • Copy of company insurance card with employee’s name

Do you release attendee information / is your list available for purchase?

IRCE does not sell or otherwise provide the attendee list to any outside party, including exhibiting companies.

Does IRCE accept presentation proposals?
IRCE 2017 Speaker Proposal Procedure

Speaking opportunities at IRCE are filled by invitation only. The agenda is developed by early fall and invitations are sent to potential speakers in October. While IRCE does not actively solicit speaker proposals, we will consider ideas for speakers and topics during the review period June 11, 2016, until July 15, 2016. Speaker submissions received after July 15, 2016 become part of a secondary consideration set of backup proposals. Please submit your proposal via email to: 2017speakers@irce.com

In Your Submission, Please Include:
· Proposed Speaker
Company, Name, Job Title, Phone, E-Mail. If a bio is available, please include (bio not
required).
· Proposed Topic
Please describe the topic the speaker would address. Be specific about why this topic is timely,
relevant and compelling to the IRCE retailer audience and what attendee takeaways will be. We ask that speakers present fresh content not delivered previously from other retail industry stages.
· Proposed Speaker’s Expertise
Provide what unique knowledge and insights the speaker would bring to the table in
terms of expertise in the e-retailing sector.
· Proposed Speaker’s Experience
Provide the speaker’s prior speaking experience, especially to large audiences, the
topics of past presentations, and any additional information relevant to past experience. Links to
online video of presentations (not interviews or panels) are welcome.
· Additional Presenters
Speakers who are not retailers are required to secure a retail co-presenter to provide the retail
perspective of the proposed topic. Please provide that co-presenter’s name, job title, company,
contact information, experience and expertise.
– Format
Panel discussions, with a facilitator moderating, do not fit our format. The IRCE agenda is built
on expert commentary prepared in advance and timed to the allotted duration.

Do you offer 1-day passes for the IRCE conference?

One day passes for the main conference are not available. Workshop-only passes allow access to the workshop day on June 6 OR June 9.

What special events / features take place during IRCE? Two networking receptions take place in the exhibition hall during IRCE.

June 6 | 4 – 6:30 p.m. | Welcome Reception

Kick off the event as attendees and exhibitors gather for a warm welcome to the start of IRCE on the evening before the main conference begins.

June 7 | 4:30 – 6:30 p.m. | Cocktail Networking Reception

After a full day of education, a well-deserved break awaits conference attendees in the exhibit hall.

What is the difference between a Workshop Day and Conference Day?

A Workshop Day offers concurrent workshops centered around a single theme/topic, with all sessions covering specific issues pertaining to that topic. The workshops take place June 6 and June 9. All sessions can be mixed and matched during the day you attend.

Conference Day (noted on agenda as “Main Day 1”, “Main Day 2” and taking place June 7 & 8) offers morning keynotes followed by multiple sessions categorized by track, such as “Managing Technology”. All sessions can be mixed and matched during the day you attend, you do NOT need to stay in one track or workshop the entire time.

When is my exhibit hall only pass valid for?

Exhibit hall only passes are valid for the duration on the event when the exhibit hall is open. The exhibit hall opens in the late afternoon (4-6:30 p.m.) on June 6 for a Welcome Reception. The exhibit hall is open all day on June 7 (9 a.m. – 6:30 p.m.) and June 8 (9 a.m. – 4 p.m.) The exhibit hall is NOT open on Friday, June 9.
